INTRODUCTION

The XMM-Newton Remote Proposal Submission (RPS) System provides the facility for filling-in and submitting the XMM-Newton Observation Proposal Form (Phase I proposal submission).


Notes on Specific Cases

EPIC Mosaic Mode

Proposers wishing to cover an area of the sky with exposure times per pointing shorter than 5 ks, may consider the use of the EPIC Mosaic Mode in order to increase the observing efficiency, but with the drawback of using fixed offset tables for EPIC-pn (see details in the XMM-Newton Users Handbook).

The PI must enter in the RPS:

In the case of EPIC Mosaic Mode the total observation duration is limited to one revolution, i.e. 130 ks. There is no lower limit to the number of pointings. Proposers requesting more time must enter as many observations as necessary. The number of pointings per proposal is limited to 999. The details of each observation (coordinates, instrumental setup, etc) will be defined later, within the Phase II proposal submission.

The observation has to be defined as Time Critical and fixed in "UT Time".

RGS Multipointing Mode

The RGS Multipointing Mode allows the user to make five different pointings, with offsets in the RGS dispersion direction of 0, +15, +30, -15 and -30 arcsec (see details in the XMM-Newton Users Handbook).

The PI must enter in the RPS:

The observation has to be defined as Time Critical and fixed in "Position Angle".

Observations of Large Areas

Large areas of the sky can be observed by XMM-Newton through observations of eleven or more nearby or overlapping fields. Depending on the amount of total observing time, the PI may send the proposal as a "Large Programme" (see the XMM-Newton AO Policies and Procedures Document).

Users are asked to describe the proposed area of the sky in detail within the scientific justification. They must enter in the RPS:

The exposure time of one individual pointing must be between 5 and 130 ks.

The number of pointings per proposal is limited to 999. The details of each observation (coordinates, instrumental setup, etc) will be defined later, within the Phase II proposal submission.

The observation has to be defined as Time Critical and fixed in "Large Area".

Proposal Category

Proposal categories matching the composition of the XMM-Newton Observatory Time Allocation Committee panels. Users must select the category under which their proposals will be reviewed. Required

Proposal Title

Title of the proposal. Up to 80 characters. Any slash '/' character will be removed if entered, as it has special meaning for the processing system. Required

Proposal Type

Type of the proposal. For details see the XMM-Newton AO Policies and Procedures Document. Required

Large Programme

Set this flag to "Y" if you want to submit the proposal as a "(Very) Large Programme" (see the XMM-Newton AO Policies and Procedures Document). Only allowed for proposals requesting at least 300 ks. The only exception to this limit is the case of re-submission of a LP approved in previous AOs, requesting additional time because of enhanced background during already done observations.

Abstract

Enter the proposal abstract using the editor window provided. Abstracts must have a maximum of 10 lines with 80 ASCII characters per line. Longer abstracts will be truncated and the excess text will not propagate into the system. The use of LaTeX special characters ($,%,#,\) must be avoided. Please note that abstracts of accepted proposals will be made public. Required

Was this proposal accepted in a previous AO, but its scientific objectives could not be fulfilled due to high background radiation?

Set this flag to "Y" if you are re-submitting a proposal already accepted in previous AOs, whose scientific objectives could not be fulfilled because the observations were affected by high background radiation. In this case, please fill in the next field.

ID number of the proposal

Enter the number of the proposal that could not be fulfilled because the observations were affected by high background radiation. Required if this proposal is a re-submission.

OBSERVATION Form

This section is used to enter the details of each observation.

Observation Number

The number given to the observation. The final proposal must contain a sequence of observation numbers from 1 to the total number of observations. The total number of pointings in a proposal is limited to 999.

If more observations are required, they must be included in additional proposals. In this case, please attach the same Scientific Justification to all the proposals and, after submission, inform the XMM-Newton SOC about the numbers of the proposals to be concatenated.

Target Name

The name for the object to be observed. Up to 20 characters. Please try to use names complying with IAU recommendations. Required

R.A.

The Right Ascension of the source referred to epoch J2000. The standard format is HH MM SS.SS - hours, minutes, seconds, separated by spaces. Optionally, it may be entered as degrees (DDD.DDDDDD). Required

Dec

The Declination of the source referred to epoch J2000. The standard format is #DD MM SS.SS - degrees, arcminutes, arcseconds, separated by spaces (# indicates an optional sign). Optionally, it may be entered as decimal degrees (#DD.DDDDDD). Required

Prime Instrument

The Prime instrument for the Observation. Options are "EPIC" and "RGS". Required

Prime Instrument Mode

Select the operating mode of the prime instrument ONLY, and set the mode of the non-prime instrument to the blank or '---???---' selection (Browser dependent). See the XMM-Newton Users Handbook for the list of modes offered. Note that when EPIC is selected as prime instrument, the mode must correspond to EPIC-pn. Required

Exposure Time for the Prime Instrument

The requested exposure duration for the prime instrument in ks. It must be between 5 and 130 ks (except for EPIC Mosaic Mode, see above). Required

In the case of observations of a Large Area, EPIC Mosaic Mode and RGS Multipointing Mode, the exposure time must correspond to one individual pointing.

Total Observation Duration

Total observation duration, including prime instrument overheads and number of repetitions. This field is filled automatically after "Verify" and cannot be edited.

In the case of EPIC Mosaic Mode the total observation duration is limited to 130 ks (i.e. one revolution). Proposers requesting more time must enter as many observations as necessary.

Time Critical

Logical value indicating whether the observation is constrained. This flag must be set to "Y" in the following cases:

Number of occurrences in addition to the first one

Number of repetitions of the same observation (target, duration, setup). The total number of pointings will be 1+Number of Repetitions. The number of repetitions of an observation is limited to 998.

Proposers of a Large Area must request one observation and N-1 repetitions (N being the total number of pointings, N > 10).

In EPIC Mosaic Mode, the number of repetitions is limited by the total observation duration, that cannot exceed 130 ks (i.e. one revolution). Proposers requesting more time must enter as many observations as necessary.

The number of repetitions in RGS Multipointing Mode must be set to four (i.e. five pointings).

The total number of pointings in a proposal is limited to 999. If the proposal requires more pointings, they must be entered in additional proposals. In this case, please attach the same Scientific Justification to all the proposals and, after submission, inform the XMM-Newton SOC about the numbers of the proposals to be concatenated.

Coordinated Observation

Indicates if the observation is to be coordinated with other facilities.

Observation fixed in

Indicates the type of constraint for Fixed Observations. For special modes, select as follows:

Remarks Flag

Flag indicating that there are remarks for this observation. Required if comments are entered in the 'Remarks' box.

Remarks

Any relevant comments you wish to make regarding the observation (e.g. details of the time constraints). Please note that "Fixed Time/Time Constrained" observations have to be explicitly justified in the Scientific Justification. In addition, be aware that they might not be feasible because of scheduling/visibility constraints. Up to 200 characters are allowed. Required if the Remarks Flag is "Y".

Enter the requested Chandra time in ks. Between 1 and 400 ks

Chandra Comment

Enter details about the requested Chandra observations, instrument modes and scheduling constraints, if any. Up to 200 characters. Required if Chandra time is requested.

HST Time

Enter the requested HST time in orbits. Between 1 and 30 orbits

HST Comment

Enter details about the requested HST observations, instrument modes and scheduling constraints, if any. Up to 200 characters. Required if HST time is requested.

VLT Time

Enter the requested VLT time in hours. Between 1 and 80 hours

VLT Comment

Enter details about the requested VLT observations, instrument modes and scheduling constraints, if any.

It is mandatory to specify for each target: 1) instrument and set-up, 2) target brightness (and associated waveband), 3) special scheduling requirements: time criticality, split of various runs and their corresponding telescope-time etc., 4) special calibrations, if needed, and 5) observing constraints, at least seeing/transparency. Up to 500 characters. Required if VLT time is requested.

SWIFT Time

Enter the requested SWIFT time in ks. Between 1 and 300 ks

SWIFT Comment

Enter details about the requested SWIFT observations, instrument modes and scheduling constraints, if any. Up to 200 characters. Required if SWIFT time is requested.

NuSTAR Time

Enter the requested NuSTAR time in ks. Between 20 ks and 1.5 Ms

NuSTAR Comment

Enter details about the requested NuSTAR observations, instrument modes and scheduling constraints, if any. Up to 200 characters. Required if NuSTAR time is requested.

INTEGRAL Time

Enter the requested INTEGRAL time in ks. Between 13 and 300 ks

INTEGRAL Comment

Enter details about the requested INTEGRAL observations. It is mandatory to specify at least the requested mode (only Hexagonal or 5x5 are allowed) and scheduling constraints, if any. Up to 200 characters. Required if INTEGRAL time is requested.
